Disable Outlook For Mac Forward Notification
In Outlook for Windows, turn off global notification in File, Options, Mail by unticking Display a Desktop Alert. If you have Play a sound or Show an envelope in the taskbar enabled, you can turn those off too. Next, create a rule for the accounts you want to receive a notification for. Open the Rule and Alerts dialog; Click New Rule. How to enable/disable missed call notifications Missed call emails are managed by Exchange and to that extent the option is found with in Office 365. I am setting up my new Outlook installation, and started to get some emails from different people. One thing i notice is that i started also to receive those small black alerts that keep popping up on my Windows 10 desktop. The alerts also play an annoying beep sound. I have also noticed that small envelope popping up in the right side of the task bar whenever unread email is available for me to start reading. So i guess my question to you guys is whether there a way for me to turn offOutlook notifications and sounds. Looks like my incoming notification settings seem not to match the ones i have in Gmail.
Thanks so much for your question. Actually this one is kind of timely, as i am coincidentally setting up my new Outlook 2019 install. I also feel that new message alerts can be a productivity-killer as those keep popping up and get you out of your flow. So, with the aim of maintaining focus and be more productive, i usually go ahead and modify the default Outlook settings, and get rid of incoming message pop up alerts. Actually, this is probably the first thing i do immediately after setting up my Outlook.com and Yahoo email accounts on a fresh Outlook install.
In this post i would like to go ahead and explain the configuration of the new email alert settings using an Office 2019 install, both for Windows 10 and MAC OSX. That said, the process outlined below will work on previous Microsoft Office versions.
Mute Notifications in Outlook
As expected, not much change here when compared to Outlook 2013/2016 which i use through the Office 365 package.
Here are the steps:
- Open Microsoft Outlook.
- Hit File and then Options , then select Mail.
- In the Message arrival section go ahead and uncheck the following boxes: Display a Desktop Alert and Play a Sound.
- Note that here you can also hide the envelope icon in your right hand side desktop bar.
- Once done, hit OK.
Note: couple of readers asked us whether it’s possible to turn off and cancel Outlook new email notifications; however keep those notifications when incoming email from certain people hit your inbox. Basically, the process outlined above will suppress notifications for all your inbox emails and can’t be overwritten. That said, you could potentially define a new Outlook rule that will route email to a specific folder that you’ll create, say Important Email, and then you could write a short VBA macro that will pop up a notification when a new message hits that folder.
Disable sounds and alerts in Outlook for macOS
- Hit Outlook, and then select Preferences.
- Then under Personal Settings, hit Notifications and Sounds.
- In the Message Arrival section uncheck the ” Display an Alert on my Desktop” check box.
- Then, under Sounds, uncheck all applicable, as shown below. Note that i also cancelled any reminder and sent messages alert sounds.
- Once done, close the dialog.
Reinstating your default notification settings
If you are interested to revert the changes you have mode just modify the settings mentioned above. Outlook will immediately reinstate the desktop alerts for you.

Prevent others from forwarding your email message in Outlook
For preventing others from forwarding your email message, the best way is to disable the Forward function in Outlook.
Step 1: Create a new Form with preventing forward
1. Create a new email message.
2. In the Message window, please click Developer> Design a Form. See screenshot:
If the Developer tab doesn't show in the Ribbon, please click How to add developer tab on Ribbon in Outlook? to show the Developer tab.
3. In the Design Form dialog box, please choose Standard Forms Library from the Look In drop down list, and then click to select the Message in the textbox and then click Open button.
4. Go to the (Actions) tab in the Message (HTML) (Design) dialog box, and double click the Forward field as shown in the below screenshot.
5. In the Form Action Properties dialog box, please uncheck the Enabled box, and then click the OK button. See screenshot:
With Word, I was able to see exactly what the final page would look like as I was typing, as I was positioning exactly where I wanted each graphic to go, etc.I don't see how I can do that if I'm creating pages that are twice the size they'll wind up being, and then hoping some other software will fit them on half-size 'pages' (two to a sheet) the way I want it to.Am I misunderstanding you?Thanks again for your effort to help!Theophan. While I have no problems with scaling, I prefer to work as follows: I change my page size to A5, so that I am working with real (i.e, not scaled) measurements and set up my publication for that size (I find 10.5 Georgia quite a good choice). On those pages, it will be absolutely critical whether a line or two of text immediately above or below the nearly-page-filling graphic is on the same page as that graphic or gets automatically put on the previous or following page. If I create the document in full-size pages, the graphic will occupy a very much smaller portion of the page.
6. Then it returns to the Message (HTML) (Design) dialog box, go to the Properties tab and check the Send form definition with item box.
7. A prompt box pops up while you checking the Send from definition with item box, click OK button to close it.
8. Then click Publish > Publish Form in the Message (HTML) (Design) dialog box.
9. When the Publish Form As dialog box popping up, name the Form in the Display name field and then click Publish button. Note: By default, the created Form is saved in the Personal Forms Library folder.
10. Then click the Close button to close the Message (HTML) (Design) dialog box. When the prompt box pops up, click No button.
11. Close the new Message window you have created at the very beginning.
Step 2: Send an email with created “Prevent forwarding” Form
1. When you want to send a “prevent forwarding” email to others, please click Developer > Choose Form.
If you are using Outlook 2007, please click File > New > Choose Form.
2. In the Choose Form dialog box, you need to:
1). Paste and match style shortcut mac. Select the Personal Forms Library in the Look In drop-down list;
2). Select the Form you have created for preventing forwarding in the textbox;
3). Click Open button.
3. Then a new Message window will display, compose your email and click the Send button to send it.
When people receive and open your email with “prevent forwarding”, the Forward button will turn grayed and cannot be used. See screenshot:
Note:This method is only applied to Outlook accounts, if the recipients are not using Outlook, this way will become invalid.
